Practical Guidance & Industry Resources

On-page guides curated for dump truck owner-operators, fleets, general contractors, and industry partners.

Contractor Preparation

Preparing Company Information for Contractor Conversations

A checklist for owner-operators and dump truck fleets preparing to introduce their business to commercial general contractors and site managers.

Key Recommendations

  • Gather active MC/DOT numbers, W-9, and state business filings.
  • Document exact rig counts, bed types (tandem, tri-axle, demo), and payload limits.
  • Compile driver drug consortium confirmation and safety records.
  • Summarize local service radius, quarry relationships, and typical dump site experience.
Hauling Requirements

Describing a Hauling Requirement for Civil Projects

A practical guide for general contractors needing aggregate or site haul capacity on commercial and infrastructure projects.

Key Recommendations

  • Specify exact job site location, access roads, and staging constraints.
  • Define bed specifications: tandem vs. tri-axle vs. end-dump vs. flow-boy.
  • Detail daily truck counts, estimated tonnage per day, and start dates.
  • Outline contractor COI insurance requirements and site orientation procedures.
Insurance Guidance

Preparing Questions for an Insurance Professional

A structured question list for dump truck owners speaking with licensed commercial insurance brokers about coverage and site requirements.

Key Recommendations

  • Ask about primary auto liability limits and trailer interchange endorsements.
  • Clarify policy radius restrictions (e.g., 50 miles vs. 100 miles) and off-road site coverage.
  • Inquire how additional insured endorsements and waiver of subrogation impact premiums.
  • Review deductible options and seasonal lay-up or fleet expansion terms.
Operations & Costing

Understanding Operating Overhead & Tare Weight Discipline

Fundamental business guidance on tracking operating cost per working hour and per mile, fuel surcharge math, tare weights, and preventative maintenance escrows.

Key Recommendations

  • Calculate fixed monthly overhead separate from variable fuel and tire wear costs.
  • Track operating cost per working hour and per total mile from one monthly budget.
  • Monitor tare weights closely at quarry scales to maximize legal payload safely.
  • Set aside dedicated maintenance escrow per operating hour to avoid cash-flow shocks.
  • Maintain organized maintenance logs for DOT compliance and resale value.

Free planning tools for haulers. These run entirely in your browser — nothing you enter is saved or sent to NDTA. They do not verify insurance coverage, guarantee contractor approval, or set rates.

Operating Cost Calculator

Estimate your operating cost per working hour and per total mile from one monthly cost budget for one truck. The pre-filled numbers are examples, not market rates. Legitimate $0 costs (e.g. truck paid off, no idle fuel) are allowed. This is a planning tool — not a quote, bid, or rate recommendation. Estimates cover only the costs you enter.

Fixed costs (per month)

Example — monthly truck/trailer payment

Example — monthly commercial insurance

Example — office, accounting, fees

Variable costs (per mile)

Example

Monthly labor & idle fuel

Example — paid driving, loading, unloading, waiting time, owner labor, payroll costs/benefits. If paid hourly, enter pay rate × all paid hours + applicable payroll costs.

Example — idle/PTO fuel NOT already counted in Fuel ($/mi). Enter 0 if none.

Loaded AND empty/deadhead. 0 suppresses per-mile output.

Driving, loading, unloading, waiting. 0/blank suppresses hourly output.

May be fewer than working hours. Leave blank for no billable rate.

Your monthly operating cost

$11,170.00/ month

Cost per working hour

$46.54/ hour

Cost per total mile

$1.86/ mile

Monthly breakdown

Fixed costs (F)
$2,170.00
Variable ($0.95/mi × 6,000 mi)
$5,700.00
Labor budget (L)
$3,300.00
Idle / PTO fuel (I)
$0.00
Total (T)
$11,170.00

How this is calculated

  1. F = truck payment + insurance + permits/plates + other fixed overhead.
  2. V = fuel/mi + maintenance/mi + tires/mi.
  3. T = F + (V × miles) + labor budget (L) + idle/PTO fuel (I).
  4. Cost per total mile = T ÷ miles (when miles > 0).
  5. Cost per working hour = T ÷ working hours (when hours > 0).
  6. If billable hours are entered (and 0 < billable ≤ working hours), cost recovery per billable hour = T ÷ billable hours.

One truck, one consistent month. Results exclude anything not entered. Include fuel used while idling/PTO only once (either in Fuel ($/mi) or as additional idle/PTO fuel, not both). Truck payments are included as entered — avoid double counting equivalent ownership costs. These estimates are not market rates or profitable bids; profit, unlisted costs, and job-specific conditions require a separate allowance.
